What you can expect working with LSC

At LSC, we see our consultants as an extension of our team. While you will work day-to-day with our client Lilly Kinsale, you are also part of the wider LSC consultant community. We are committed to making sure you feel supported, informed, and valued throughout your time with us.

You can expect regular communication, proactive support, and easy access to our team whenever you need assistance. We take the time to check in with our consultants, celebrate key milestones, gather feedback, and ensure that any issues are addressed quickly. Our goal is to make your experience as smooth and positive as possible, allowing you to focus on your role while knowing that LSC is here to support you every step of the way.

Working Hours & Break Times

The standard working week is 39 hours. This does not include your daily break. A minimum 30-minute unpaid break should be taken each day.

Overtime is paid at your standard hourly rate and should be agreed in advance with your sponsor / Manager before any additional hours are worked.

We encourage everyone to maintain a healthy work and rest balance. Taking appropriate breaks and managing working hours is important for both wellbeing and safety.

Your First Week

On your first day, Rachel O’Riordan will meet you at the IE10 Security Office, where you will receive your site access badge.

Rachel is the LSC HR Services Delivery Manager and is based on-site at Lilly Kinsale in IE5. As your consultant support contact, she will help you settle into your new role and will meet with you regularly throughout your assignment, particularly during your first few weeks.

What to expect on your first day:

  • 9:00am (8.15am if site orientation is required): Have your photo taken for your site access badge.
  • 9:15am: Visit the IT Cabin to complete your IT setup and receive your equipment and system access.
  • 12:00pm: Rachel will collect you and introduce you to your Lilly sponsor. This will also be an opportunity to ask any questions you may have and discuss your onboarding experience so far.

Key Communications from LSC

During your first few days, you will receive a number of important communications from LSC. These emails contain key information about payroll, timesheets, annual leave, sick leave, and other important processes related to your time with LSC.

We strongly recommend that you read these communications carefully and keep them for future reference. They are designed to help you get set up correctly from the outset and ensure you understand the systems and processes that you will use throughout your time with LSC. Taking the time to familiarise yourself with this information early on will make it much easier to manage your timesheets, leave requests, and other administrative tasks as you settle into your new role.

These are the important emails you will receive in the first few days:

Day Before your start date:

  • Submitting timesheets LSC – This contains information on RSM InTime which is the system you will be using to submit your timesheets on a weekly basis.

On Start Date:

  • Welcome to InTime – This will contain your username and the link to RSM InTime.
  • Your InTime Password – This will contain your password to RSM InTime.
  • Eli Lilly Payroll Information – This will contain a video guide and instructions for RSM InTime as well as other payroll information (pay dates etc.)

Day 4

  • Welcome To HR Duo LSC – This will contain login details to LSC’s leave management system, HR Duo. You will be using this system when you want to request time off.
  • Requesting Leave HR Duo LSC – This will contain more detailed instructions on how and when to use HR Duo.

Training & Compliance

Over the coming days and weeks, you will receive communications from Lilly regarding role-specific training requirements, system access, and site compliance activities.

Due to the nature of the Lilly Kinsale site, the training programme is comprehensive and it is essential that all required training is completed by the assigned due dates. Maintaining training compliance is a critical part of working on site and helps ensure a safe, secure, and audit-ready environment.

Rachel will review training compliance reports on a monthly basis and will contact you if any training becomes overdue. It is important to stay up to date with all assigned training, as training records may be reviewed during internal or external audits.

By now, you will have met Rachel O’Riordan, LSC’s HR Services Delivery Manager. Based on site at Lilly Kinsale, Rachel is your main point of contact throughout your contract and is there to support you during your time with Lilly Kinsale.

Rachel will check in with you regularly to ensure you are settling into your role, answer any questions you may have, and provide support whenever needed. She will also work with you on your professional growth, helping you explore development opportunities, discuss your career goals, and ensure you continue to get the most from your time in Lilly Kinsale.

We understand that starting in a new environment can be both exciting and challenging. That’s why we have a buddy system in place. Your assigned buddy will be an existing LSC contractor on site who will act as a point of contact for you for, providing you with general information, guidance and encouragement during your first few weeks of employment. If you’d like for us to organise a buddy for you, please contact Melanie.

Pay Dates & Timesheets

If you are PAYE Consultant, you are paid on the first Friday after the last Sunday in the Monday. A copy of the payroll calendar is here.

If you are an LTD Consultant, you will be paid on the 15th of every month. A copy of the payroll calendar can be found here.

It is very important that you submit your timesheet each week, as delays in timesheet submission may result in delays to your payment.

Your timesheet must be approved by your manager before payment can be processed. Your manager will be set up on RSM InTime and will be responsible for reviewing and approving your submitted timesheets.

Once you submit your timesheet, it is automatically sent to your manager for approval. Payment can only be processed after your timesheet has been approved, so we encourage you to submit it on time each week and follow up with your manager if approval is outstanding.

You will receive login details to RSM InTime on your first day.

LSC Processes & Systems

Below is a quick introduction to the key systems and processes you’ll use as part of your role with LSC. During your first week, you’ll receive separate emails and guidance for each system, along with step-by-step instructions to help you get up and running.

 

RSM InTime (Timesheets)

RSM InTime is the timesheet system we use. It is an online timesheet system. Each week you will be logging in to RSM InTime and you will be recording your hours worked. You will only be recording actual hours worked (e.g not including any tea breaks or lunch breaks). For any days you do not work you will be putting ‘0’ in your timesheet and adding a comment e.g. out sick, annual leave.

You will need your PO number to submit your timesheets, your Lilly manager will share this with you. Your timesheet must be approved by your manager before payment can be processed. Your manager will be set up on RSM InTime and will be responsible for reviewing and approving your submitted timesheets.

Once you submit your timesheet, it is automatically sent to your manager for approval. Payment can only be processed after your timesheet has been approved, so we encourage you to submit it on time each week and follow up with your manager if approval is outstanding.

 

HR Duo (Leave)

HR Duo is a relatively new system that we have introduced in Lilly Kinsale to make leave management simpler, more transparent and easier to track. As an LSC consultant, you will use HR Duo to submit annual leave requests and any other leave requests.

When you submit a leave request through HR Duo, it is automatically sent to your manager for approval, helping to ensure that all leave is recorded accurately and consistently. The system also provides visibility of your remaining leave entitlement, making it easier to plan time off during the year.

Like RSM InTime, your manager will also be set up on HR Duo and is responsible for approving your leave requests. If your leave request has been awaiting approval for several days, we recommend following up with your manager directly to ensure it is reviewed and approved in a timely manner. Even if you are an LTD Consultant, you must use HR Duo to submit any leave requests. Your annual leave balance or entitlement will always show as zero.

Your probation expectations are assigned to you to read and acknowledge on HR Duo, please take the time to go through these and discuss and queries with Rachel.

It is important to understand that HR Duo and RSM InTime serve different purposes and information is not automatically transferred between the two systems.

  • HR Duo is used to request and manage annual leave. This is where you notify your manager and LSC that you would like to take time off.
  • RSM InTime is used to record the hours you actually work each day and is used for payroll purposes.

How the Process Works

  1. Submit your leave request in HR Duo before taking leave.
  2. Your manager will review and approve the request.
  3. Once approved, your leave is confirmed and you can take the time off.
  4. When completing your weekly timesheet in RSM InTime, record only the hours you actually worked.
  5. For any approved leave day, enter 0 hours worked for that day in RSM InTime.

 

Capture Expense (Expenses)

There may be times when you need to claim expenses. LSC use a system called Capture Expense, for managing travel expenses. It’s a streamlined platform that makes expense claims quick and easy. Expense claims can be completed via the mobile app or Desktop website.

Once LSC have reviewed and approved your expense claim on Capture Expense we will then upload the expense sheet on your behalf from Capture Expense onto RSM InTime and your manager will approve it from there. Just like they approve your timesheets. All you will need to do is ensure that your manager has approved this via RSM Intime if it sits there for a long time unapproved.

We will send you more information on Capture Expense approximately 3 weeks into your contract.

Contract Renewals

We understand that, while you’re focusing on finding your feet in the first few months of your contract, the thought of contract renewals might be in the back of your mind.

Rest assured, we keep track of all upcoming renewals and at 3 months prior to the end of your current contract, we begin to liaise with our client on a potential renewal. We may not receive feedback immediately but please be reassured that we continue to follow up at regular intervals until feedback is received. We will endeavour to keep you updated throughout this process and once feedback is received, you will be the first to know. We would also ask that you keep us updated if you hear anything internally too. The vast majority of contracts are renewed. If your contract is renewed and you accept, the relevant paperwork will be sent to you via our online onboarding portal for review and e-signature.
